This policy applies to anyone who interacts with Key Assets Australia, whether you're a carer, client, staff member, or visitor to our website.

We’re committed to keeping your personal information safe in line with the Privacy Act 1988. Because we’re an Australian Privacy Principle entity, we also follow the Australian Privacy Principles. Everyone who works with us or for us is familiar and compliant with this privacy policy.

The kind of information we collect and hold securely

  • Your name, address, phone number and email address.
  • Information about your business or job, including Australian Business Number (ABN) or Australian Company Number (ACN), your position, organisation, business address, and business’s phone number, fax and email.
  • Your credit card or bank details if you make a purchase from us, or take a payment from us.
  • Other personal information for our human resources, finance and general administration.
  • Other personal information to help us organise and invite you to training sessions, seminars and other events.

  • Directly from the person we are working with to provide advice, materials or other resources.
  • Directly from potential carers, or from any of their household, family members or other connections as part of their carer application and assessment.
  • From publically available information.
  • From our key stakeholders, such as the Department of Family and Community Services.
  • Sensitive information such as health status, cultural background, police checks, and disability-related data, where relevant to service delivery.
  • Information about children and young people, including education records, wellbeing indicators, and placement history.
  • Information about carers, including suitability assessments and disqualification checks.
  • Staff-related personal information, including qualifications and screening outcomes.
  • Information received from trusted third parties such as government departments, schools, and health providers.
  • Digital identifiers such as IP addresses and device information collected via online platforms.

How we hold personal information

We take reasonable steps to keep personal information secure and protected from being released without authorisation.

  • We store hard-copy information in our secure offices and electronic information on our secure servers.
  • Personal information may be stored in secure cloud environments, including providers located outside Australia.
  • Access to personal information is restricted to authorised personnel and governed by role-based permissions.
  • Security measures include encryption, access logging, and regular review of data protection practices.
  • Personal information is retained only for as long as necessary to fulfil its purpose, in line with legal and operational requirements.
  • Staff receive ongoing training in privacy and data protection to ensure responsible handling of personal information.

How we use personal information

  • Our number one priority is to keep personal information confidential and only used for the reason it was collected in the first place.
  • We won’t reveal, sell, distribute, rent, licence, share or pass on any information to third parties unless the individual or organisation give us their consent, or the law tells us to do so.
  • Your information helps us provide better products and services and to give you relevant information about them.
  • Personal information is used to deliver services, support wellbeing, assess suitability of carers, and ensure safe placements.
  • Information may be used to meet legal, regulatory, and contractual obligations, including reporting and audits.
  • De-identified data may be used for service improvement, research, and internal reporting.
  • Contact details may be used for direct communication and engagement, including updates about services.
  • Digital tools may be used to improve outreach and engagement, including analytics and targeted communication.

How to access or correct your personal information, or make a privacy complaint

  • Requests to access or correct personal information can be made at any time and will be responded to within a reasonable timeframe.
  • If concerns cannot be resolved internally, individuals may escalate complaints to the Office of the Australian Information Commissioner (OAIC).
  • Support is available for people with disability, language barriers, or other accessibility needs when making a request or complaint.
  • Some types of personal information, such as employee records, may be subject to specific exemptions under the Privacy Act.

We don’t collect a lot of personal information. But we will always be clear about what we’re asking for and why, and we’re accountable for keeping it secure.
